Interview data: Interview transcripts (with your consent), interview assessments, aptitude test results, video presentations submitted as part of the application process

If you provide personal data relating to third parties (for example, references or emergency contacts), you confirm that you have informed them of the disclosure of their data to the Company and, where required, that you are authorized to provide such data.
3.2 Mandatory Nature of Certain Data
Certain personal data must be provided because they are necessary for participation in the recruitment process. Failure to provide such data may make it impossible to process your application.
4. HOW WE COLLECT YOUR INFORMATION

During interviews: With your verbal consent, we may transcribe interviews using AI technology (Google Gemini) to ensure accurate record-keeping
Third parties: Recruitment agencies, LinkedIn (publicly available profile information), professional references you provide
Automated systems: Teamtailor (our recruitment platform) and Google Gemini (AI recruitment assistant)

Interview Transcription (with your consent): We may transcribe interview conversations using Google Gemini to ensure accurate record-keeping and allow interviewers to focus on the conversation. You may decline; this will not affect your candidacy.
Administering aptitude tests or assessments
Video Presentations: For some positions, we may request a short video presentation where you introduce yourself and explain why you're the best fit for the role
6.4 AI-Assisted Recruitment
We use Google Gemini to assist our recruitment team with:
Important: All final hiring decisions are made by human recruiters and hiring managers. AI serves as an assistive tool only and does not make autonomous decisions.
6.5 Reference Checks
We may request contact with two professional references (typically one manager and one peer) to collect feedback about your work performance, skills, and professional conduct.
6.6 Talent Pool (Optional)
If you are not selected for the position you applied for but would like to be considered for future opportunities, we can retain your application materials beyond the standard 2-year period. This requires your separate explicit consent. Benefits include:

No need to resubmit application materials
You can withdraw from the talent pool at any time by contacting people@lingokids.com, and your data will be deleted within 30 days.
7. WHO WE SHARE YOUR INFORMATION WITH
We share your personal information only when necessary and under appropriate safeguards:
7.1 Internal Teams
Your application is accessible to our recruitment team, hiring managers, and relevant department heads involved in the hiring decision.
7.2 Service Providers
We work with the following service providers who process your data on our behalf under written data processing agreements:
Teamtailor AB (Sweden): Recruitment platform and applicant tracking
Google Gemini: AI assistant for recruitment activities (interview transcription, candidate filtering, communication drafting)
Recruitment agencies: Such as Remote and other headhunting agencies - May include international transfers with Standard Contractual Clauses
Professional references: We contact the references you provide to gather feedback
All service providers are contractually obligated to protect your data and use it only for recruitment purposes.
8. INTERNATIONAL DATA TRANSFERS
Some of our service providers are located outside the European Economic Area (EEA), including in the United States and Sweden. When we transfer your personal data internationally, we ensure appropriate safeguards are in place through Standard Contractual Clauses (SCCs) approved by the European Commission.
9. HOW LONG WE KEEP YOUR INFORMATION
Standard Retention: Your application data, interview transcripts, video presentations, and reference information are retained for 2 years from your application date.
Extended Retention (with your consent): If you consent to join our talent pool, we will retain your data for a longer period to consider you for future opportunities. You can withdraw this consent at any time.
After the Retention Period: Your data will be securely deleted or anonymized unless we are required by law to retain it longer (e.g., for legal claims or compliance purposes).
10. YOUR RIGHTS
Under data protection law, you have the following rights:
10.1 Right of Access
Request a copy of the personal data we hold about you and information about how we process it.
10.2 Right to Rectification
Ask us to correct inaccurate or incomplete personal data.
10.3 Right to Erasure ("Right to be Forgotten")

File a complaint with the Spanish Data Protection Agency (AEPD) if you believe we have processed your data unlawfully.
